Club Constitution

  CONSTITUTION

1. The Club shall be known as “The Rotherham Rambling  Club”.

2. The purpose of this Club is to encourage an appreciation of  the countryside in all its aspects and seasons through the recreational medium of walking and associated activities.

3. The Club shall be administered by a Committee elected by members (16 years and over).

4. The Committee shall consist of Chairman, Vice Chairman,  Secretary, Treasurer, Programme Secretary and no more than five Committee members.

5. The election of the Committee members shall take place 7 days prior to the AGM via electronic ballot, the results will be revealed at the AGM.

6. Nominations must be handed to the Secretary 14 days prior to the Annual General Meeting.

7. The Committee shall meet no less than four times during its term of office.

8. In the event of a vacancy, nominations and elections will take place at the first available Club Night.

9. The Committee, at any time, and 20 members giving notice, shall have the power to call an Extraordinary General Meeting.

10. The number necessary for a Quorum is two thirds of the Committee and the Chairman holds the casting vote.

11. The Treasurer shall publish a financial statement for the Annual General Meeting.

12. The Committee is responsible for producing an annual programme.

13.  Amendment to the Constitution shall be at the Annual General Meeting and will be by two-thirds majority of members present.

14.  Members shall observe the Country Code.

15.  Annual subscription (fixed by the Committee) will be payable and effective from 1st January.

16.  Every walk will have a designated walk leader.

17.  All events to be as self-financing as possible.

18.  The Club and organisers accept no responsibility for any loss or injury sustained by persons on rambles or another event.

19.  Members should be aware that during all walks, Club holidays, excursions and social events they represent the Club and should always strive to show the Club in the best possible light.

20. The Club respects the dignity and worth of every person and will treat all members equally within the context of the activities, regardless of age, ability, gender, sex, race, ethnicity, religious belief, sexuality or social/economic status.

21. The Club is committed to all members having the right to enjoy the activities in an environment free from the threat of intimidation, harassment and abuse.

22. The Club will deal with any incidence of discriminatory behaviour seriously.

23. In case of dispute, IN THE FIRST INSTANCE, every effort should be made to resolve the issue by dialogue between the parties concerned. All complaints regarding behaviour of members should be presented and submitted in writing to the Secretary within one month and should be kept confidential and NOT discussed with other members. The Committee will meet to hear the complaint within (7-14) days of a complaint being lodged. The Committee has the power to take appropriate disciplinary action, including the termination of membership. The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint and the member about whom the complaint was made within (7-14) days of the hearing. There will be the right to appeal to the Committee following disciplinary action being announced. This must be submitted in writing to the Secretary. The Committee should consider the appeal within fourteen days of the Secretary receiving the appeal.

24. The Committee shall have the power to expel any member  whose conduct, in their opinion, render him/her unfit for membership.

25.The Club may, at any time, be dissolved by consent of three-fourths of the members, testified by their signatures to an instrument of dissolution.
